Job Cost

The Job Cost Module makes keeping track of your jobs simply and easily with everything at your fingertips

The Job Cost Module from our suite is a vital tool designed to simplify and enhance the way companies manage and monitor their job operations. This module provides everything needed to keep track of a job’s progress and financial health right at your fingertips, ensuring effective control over various project aspects.

Central to the module’s functionality is its ability to interact with all costing modules within the system. This ensures that both direct and indirect costs are accurately captured and considered when assessing the profitability of each job. It enables businesses to maintain detailed records for every job in progress. These records include comprehensive data points such as billings, original and adjusted estimated costs and units, revised estimates, actual costs to date, actual units in place, actual man hours, and field-reported completion percentages for each cost code associated with the job.

Moreover, the Job Cost Module is equipped to provide a range of detailed and summary reports tailored to the needs of different users—from detailed job cost reports for field personnel to summary and exception reports for management. These reports help in maintaining clear visibility of monthly, year-to-date, and job-to-date balances for each cost code per job.

The module also offers critical financial insights by providing cost and recognized revenue information on all jobs in progress, which are essential for inclusion in monthly financial statements. Users benefit from on-line access to up-to-date job information, enabling quick decisions and responses to project dynamics.

Additional features include tracking and management of all change orders, printing of comprehensive reports such as percent complete reports, and the calculation and posting of figures like billings in excess of costs or costs in excess of billings on a monthly basis. It also prints a bond status report, which includes a contractor data sheet and surety analysis, vital for risk management and compliance.

The module’s ability to keep a detailed list of transactions for a job until it is closed, coupled with its support for Worker’s Comp codes by Labor Cost Center, adds another layer of granularity and compliance to the management of job costs. This all-encompassing approach ensures that every aspect of job cost management is covered, from initial budgeting to the final accounting, making it an indispensable part of our package for businesses seeking precise and efficient job cost tracking and reporting.

Equipment

Track what equipment you have and stay on top of maintenance schedules and pass the equipment costs directly into your job costs

Our Equipment Management Module is designed to enhance your ability to monitor and manage equipment efficiently, integrating seamlessly with job costing processes. This module not only tracks the cost-effectiveness of your equipment but also integrates these costs directly into your job costs through smooth interactions with Accounts Receivable (AR) and Accounts Payable (AP) modules.

With this module, you gain the ability to run detailed reports on the status of your equipment, reviewing costs incurred over specified time periods. It facilitates setting appropriate rates for applying equipment costs to jobs, ensuring accurate job costing and financial oversight.

The module is equipped to maintain comprehensive records for each piece of equipment. These records include descriptive information, cost and utilization statistics, and detailed maintenance schedules. It provides up-to-date and historical cost data such as expenses on gas, oil, tires, and repairs, alongside utilization information for each equipment item.

To further enhance job costing accuracy, the module allows for the maintenance of hourly, daily, weekly, and monthly standard cost rates, which can be applied to different jobs as needed. It also offers online access to current information on any piece of equipment, ensuring that all data is easily retrievable and consistently up-to-date.

Additionally, the module maintains a detailed log for each piece of equipment, capturing essential information like serial number, date acquired, type of equipment, and current location. It also records maintenance activities, including oil and filter changes, field repairs, and shop repairs, with extensive details such as descriptions of issues, probable causes, personnel involved, and downtime.

Moreover, the maintenance scheduling feature of the module is designed to track necessary service based on miles, hours, and gallons used, allowing for proactive maintenance management. This comprehensive approach ensures that equipment is kept in optimal condition, minimizing downtime and maximizing efficiency on the job.

Aggregate/Trucking

Keep on top of your pit operation by automatically getting invoices for drivers and materials flowing through multiple companies

The Aggregate / Trucking module is designed to streamline operations for businesses involved in pit operations by automating the flow of invoices for drivers and materials across various companies. This module simplifies the management of income and expenses specific to pit operations, enabling users to handle payments to drivers, bill customers, and allocate charges to in-house jobs from a single interface.

Key features of the module include the ability to establish billing rates for materials and set up work orders for specific customers or jobs at predetermined rates. Contracts with drivers can also be managed within the system, ensuring that all associated costs and revenues are accurately tracked. These financial transactions are seamlessly integrated into the Accounts Payable (AP) and Accounts Receivable (AR) modules, Job Cost, and the General Ledger (GL).

A standout aspect of this module is its capability to handle operations across different company divisions without the need for manual entries. If pit operations and other job sites are managed by different corporate entities within the same organizational umbrella, the module intelligently directs postings to the appropriate company automatically. Users simply need to specify which tickets need billing, and the module automates the rest.

Moreover, the module is equipped with an imaging system that can read barcoded tickets. This feature allows for the automatic indexing of tickets, reducing manual data entry and enabling operators to focus more on managing the pit itself. This integration of automated systems and detailed tracking ensures that all aspects of pit operations are managed efficiently, from logistical workflows to financial accounting, thereby enhancing overall operational efficiency and financial accuracy.
